Important Privacy Policy Announcement

Letter to all Members: March 2024

 

Dear SDGR Member

As you may be aware it has been necessary to review the Guild Data Privacy Notice and Policy, a copy of which can be found on the Guild Website. sdgr.org.uk  

This review was necessary due to changes in the way the Guild now operates and with the increased use of modern technology, to ensure the Guild’s obligations for the privacy and protection of members’ data are met. It was also necessary to review the Privacy Notice to include the Data Protection Laws applicable to the Channel Islands as they are now a Branch of the Guild

In order to do this it was essential to introduce contract, legal obligation and vital interest, in addition to consent as our lawful basis, to hold and use members’ personal data. To comply with the Data Protection Act 2018 and subsequent amendments, it is a requirement that all members complete and submit the appropriate forms available on the Guild Website.

Even if you are a newly elected Guild Member and have recently completed a Membership Declaration, you will still need to complete the revised version and the Data Consent form, which are aligned to the new Policy. These forms will ensure that we currently comply with the law and to prepare for any future changes in the way we communicate with and collect subscriptions from the membership.

The Membership Declaration is necessary to meet our obligations to make membership aware of our various Policies such as Health & Safety, Safeguarding and Data Privacy, which by law, as an organisation, we are obliged to have. The Data Consent form is necessary to comply with the Data Protection Act 2018 and subsequent amendments.

Although the revised Privacy Notice and Policy includes references both to MemberMojo (possible communication system) and Stripe (possible card payment system) this does not presume that these systems will necessarily be agreed by the membership and such references can be easily removed from the policy if necessary.

The Guild Executive gives an assurance that data will not be uploaded to any third-party service without an individual member’s explicit consent and that members have the right to withdraw any previous consents that may have been given.

The Guild Executive appreciates both your cooperation and understanding the necessity of the Salisbury Diocesan Guild of Ringers to comply with the law.
